Bilingual Checkup Reports: What to Arrange Before Leaving China

Compare Chinese reports, English versions, imaging files and doctor review, with a practical handover checklist for receiving results after leaving China.

By the CheckupInChina coordination team · Published 2026-09-12 · Updated 2026-09-27 · Editorial policy

Your visit, report and image files can follow different schedules. The regular CheckupInChina checkup provides Chinese and English reports on the dates confirmed for your package. Agree how you will receive them before your visit, especially if you will already have left China.

What should your report handover include?

Use this matrix to separate the documents and services you need. The final arrangement belongs in your written booking plan.

Different records, different confirmation questions
Record or serviceWhat it providesWhat to agree before the visit
Original Chinese reportThe medical institution’s record of your checkup findings. For your selected package: confirm the original and English report delivery dates before payment. Confirm the delivery channel and keep the complete original.
English versionAn English rendering of the agreed report contents, kept with the Chinese original. For your selected package: confirm the original and English report delivery dates before payment. Confirm how separate attachments are handled. Translation is not a new clinical opinion.
Written imaging reportThe institution’s written findings for an imaging examination, where included or separately arranged.Ask whether it is part of the main report or issued separately, and confirm its language and release date.
Digital images or image filesThe images themselves, if the hospital can provide access or export.Ask whether the complete study can be supplied, whether DICOM is available, and whether access is view-only or downloadable. Confirm any fee, login requirement, expiry and overseas access.
Separately booked investigationsRecords from additional MRI, endoscopy or other agreed procedures.Confirm the appointment and each report date separately. Do not assume every additional result follows the regular package timetable.
Doctor’s explanationA clinician’s interpretation and advice about the findings.Confirm whether a consultation is included or needs a separate appointment and quote. Coordination and translation do not replace clinical review.

What a completed handover looks like in the actual conversations

Sending a document and knowing the visitor received it are different milestones. In the Shenzhen case, the September 14 visit was followed by a September 18 report acknowledgement after the client returned home. The Kunming case records reports shared on August 2 and receipt confirmed on August 10 while the couple continued their travels.

These historical records explain our practical checklist: agree the recipient, send the agreed files, ask the recipient to open them, and follow up on anything missing. Receipt does not mean a clinician has reviewed the results, so arrange that conversation separately if needed.

Before you leave China

Agree the recipient, private delivery channel and contact for a missing report or failed download. Tell the team your departure date and any later medical appointment you are preparing for. Paper copies, postage and extra image exports need their own availability and cost confirmation.

If you need images for another doctor, ask that clinic which records and transfer formats it can accept before the scan. An English report or a hospital viewing link does not guarantee acceptance by an overseas clinician, insurer or authority. For an additional scan, start with our MRI, CT and diagnostic appointment guide.

Turn a report estimate into dates for your own trip

For a regular checkup, have the team write the expected earliest and latest delivery dates in your booking plan. Business days are not calendar days: weekends, public holidays and the provider’s working calendar affect the dates. Confirm the calendar rather than counting five dates forward from the appointment yourself.

Record separate due dates for MRI, endoscopy, pathology or other separately arranged services. Tell the team when you leave China and when you need the material for another appointment. An English file, image download and consultation to explain results can have different handover steps.

The agreed report date has passedContact the coordinator through the agreed channel with your booking reference and which document is outstanding. Ask for its status and a revised delivery date.
A file will not open or pages are missingIdentify the document and the access problem. Ask for complete files or a replacement private delivery route.
The English version seems inconsistentPoint to the page and passage through the private channel. Ask the team to check it against the original; the institution handles corrections to its clinical record.
You need the findings explainedAsk who will provide a clinical review, whether it is included, the consultation format and any separate fee. Receipt or translation is not a medical interpretation.

When the files arrive

  1. Check your name, examination date and the examinations covered.
  2. Open every file and keep the complete Chinese original with the English version.
  3. Preserve laboratory values, measurement units, reference ranges and any report flags.
  4. If image access was agreed, check that it opens and ask whether you can save the required files before access expires.
  5. Tell the coordinator about missing pages, access problems or a translation that appears inconsistent. Medical interpretation and corrections to the original record belong to the institution.

Why the image files can matter

Your doctor may want the images as well as the written report for review or comparison with previous examinations. RadiologyInfo explains obtaining and sharing medical images. That general guidance does not establish a particular Chinese hospital’s export method, fees or reporting time.

Keep reports, image-access links and QR codes private. Agree a suitable transfer route with the intended recipient; do not put them in public comments or an initial website enquiry.

Check the original and translation as a pair

Match the examination dates, report pages, units, reference ranges and any imaging conclusions between the original and translated versions. Ask about unclear or missing text. Translation communicates the written findings; it does not provide a new diagnosis or replace a clinician’s explanation. Keep image files and the written imaging report clearly labelled as different records.

Confirm original, English-version and image-file dates for your own booking. Additional tests and specialist reviews may take longer than the routine visit. See the main report guide for the service-estimate scope; existing accepted quotations retain their agreed terms.
